We're Hiring: Clinical Admin Coordinator!

We are seeking a detail-oriented and organized Clinical Admin Coordinator.

Location: Baltimore, MD
Role: Clinical Admin Coordinator
Work Schedule: Onsite - Monday to Friday 9:00 AM - 5:00 PM

Essential Responsibilities:

  • Maintain the Front Office area of the clinic. Welcoming visitors in a friendly upbeat manner. Receiving, directing, handling phone calls in a professional and courteous manner.
  • Maintaining an orderly desk area and reception area to create a positive impression as guests visit. Receiving, sorting, and distributing mail across all offices. This includes regular mail deliveries along with packages and carrier services.
  • Assisting with Patient Check In/Scheduling Appointments. Completing client reminder phone calls 24-48 hours before their appointment. Scheduling clients over the phone for an appointment.
  • Registering clients at the front. Collect monies from self-pay clients and securely place contributions in safe room. Ensuring client’s personal/ billing information is accurate in Insight. Complete Phone Encounter forms and complete Covid-19 screening questions for all clients.
  • Take notes during staff meetings, create agendas, Producing forms, memos, letters, charts, and graphs. Coordinating logistics for meetings, including compiling documents and agenda.
  • Assisting Program Directors and Health Program Administrators on various assignments. Filing paperwork and correspondence as directed.
  • Assist in planning and coordinating the projects and activities for the Adolescent & Reproductive Health Program. Prepares weekly statistical information.
  • Inventory, track incoming and outgoing products. Creating spreadsheets, packing boxes, counting inventory, maintain a system for inventory and filing documents.
  • Provide inventory control reports as required. Maintain count accuracy (digital and physical counting). Updating database with incoming and outgoing products. Loading and unloading deliveries. Maintain a safety while using equipment and tools.

What We're Looking For:

  • Education : A High School Diploma or GED is required for this position. An associate or bachelor’s degree in business administration or a related field is preferred .
  • Work Experience : You should have a minimum of 1 -2 years of work experience as an Receptionist, Registration Agent, Admin Assistant in a Hospital or Clinical Environment
  • Technical Skills:  Experience with Epic Electronic Medical Records Software System HIGHLY Preferred.  Proficiency in Microsoft Office Suite, especially in Word, Excel, and PowerPoint, is a must. Experience with video conferencing platforms such as MS Teams, Zoom, or Webex is preferred.
  • Communication Skills : Excellent verbal and written communication skills are required. You should be able to effectively communicate with executives, employees, clients, and external partners.
  • Organizational Skills : Outstanding organizational and time management skills are essential. You should be able to manage multiple tasks simultaneously, prioritize tasks, and meet deadlines.
  • Interpersonal Skills : You should have strong interpersonal skills, be able to work independently and as part of a team and demonstrate discretion and confidentiality in handling sensitive information.
