Based in St. Paul, MN

Job Title: Administrative Assistant
Location: On-Site, Saint Paul, MN
Hours: 8:30AM-5:00PM
Bargaining Unit: OPEIU Local 12

Position Summary:
The Administrative Assistant reports to the Director of Administration and provides comprehensive administrative and office support to SEIU Healthcare Minnesota & Iowa staff, members, and organizational sectors. This role is essential in ensuring smooth office operations and exceptional member service. 

Key Responsibilities:

  • Serve as front desk receptionist: answer phones, and provide follow-up as needed.
  • Greet and assist members, guests, and visitors.
  • Respond to member inquiries and route requests to appropriate staff.
  • Manage copying, scanning, and faxing needs.
  • Assist with maintaining office equipment.
  • Coordinate and schedule meetings – send notices, reserve rooms, arrange catering, and prepare materials.

Records Management:

  • Enter membership Data accurately and on time.
  • Maintain and update electronic and hard-copy records.
  • Prepare correspondence, forms, flyers, and other materials.
  • Support mass mailings and communication efforts.

Office Maintenance:

  • Maintain a clean, professional, and welcoming environment.
  • Prepare conference rooms for meetings and maintain sign-in-sheets.
  • Assist with executive board meetings and member events.
  • Monitor inventory and order supplies.

Other Duties:

  • Perform additional administrative tasks and projects assigned.

Required Knowledge, Skills, and Abilities:

  • Strong teamwork and collaboration skills.
  • Excellent written and verbal communication abilities.
  • Exceptional organizational and time management skills with attention to detail.
  • Ability to handle multiple priorities and meet tight deadlines.
  • Proficiency in Microsoft Office Suite 
  • Strong problem solving and customer service orientation.
  • Accurate record-keeping and confidentiality skills.

Minimum Qualifications:

  • Administrative degree or high school diploma/GED with at least three (3) years of administrative experience.
  • Intermediate level proficiency with MS Office Suite.
  • Proven customer service skills and professionalism.

Preferred Qualifications:

  • Five (5) years of office, clerical, or secretarial experience.
  • Experience managing databases, running queries, and analyzing data.
  • Familiarity with union membership database systems.
  • Ability to work independently and manage projects with minimal supervision.
  • High level of professionalism and ability to maintain confidentiality.

Confidentiality:

  • This position requires handling sensitive information regarding staff, members, and organizational operations.

Physical requirements:

  • Work is performed in a general office environment. Must be able to:
  • Sit or stand for extended periods of time.
  • Use hands or fingers for typing and data entry.
  • Occasionally lift up to 40 lbs. and frequently lift or carry up to 5lbs.
